Information we process
Contact, trial and booking forms collect your name, email, optional phone or WhatsApp details, product and shop links, keywords and messages. Accounts hold names, profiles, photos, company and billing details, access roles and assigned brands. The dashboard holds product identifiers, campaign agreements, ranking observations, source records, requests, reports and audit history. Technical data includes IP addresses, browser information, authentication and security records. Do not submit sensitive personal information or unnecessary information about other people. Invitation records include the recipient email, invited role, selected brands, expiry, a hashed signup token and acceptance status. We record the versions of the Terms and Privacy Policy acknowledged when joining.
Purposes and legal bases
We use enquiry and appointment details to take steps you request before entering a contract. Client and campaign data supports service delivery and account administration. Legal obligations may require keeping financial records. Our legitimate interests include securing systems, handling enquiries, maintaining evidence and resolving disputes, balanced against your privacy. Optional external media requires consent. Sending an enquiry does not subscribe you to marketing.
Dashboard and sources
Authorised staff and client users access information according to their permissions. Products and ranking records may be imported from Google Sheets or collected through browser observations. Unverified imports remain distinct from checked records. Public product information may include seller names. Ranking charts do not make automated decisions about people. Corrections and billing reviews retain an auditable history.
Providers and external services
Hosting and IT providers support platform operation and security. When booking is connected, Google Calendar receives your name, email, appointment time and optional message to create an invitation and Google Meet link. This does not require access to your own calendar. YouTube loads full videos with permission and may process your IP address and browser details. Email and Discord notifications operate only where configured and may contain limited work details. WhatsApp is an external service opened when you choose its link. Fluent Forms handles enquiries when that integration is enabled. We do not sell personal data.
Cookies and local storage
Necessary: WordPress uses logged-in session cookies (wordpress_logged_in_*, wordpress_sec_*) and wordpress_test_cookie for authentication, with duration determined by the login session. rs_cookie_consent_v1 stores only your choice, version and timestamp in local storage for up to 180 days. The extension may locally retain a pending ranking observation until submission succeeds or is rejected. External media: YouTube loads only after consent; Google controls the lifetime of its own cookies. Silent local MP4 previews and locally hosted fonts do not require YouTube consent. No analytics or advertising tags are active in this version. Change or withdraw your choice on any page through Cookie settings. Refusing does not block site access.
Retention, security and transfers
We retain enquiries while needed to handle them and related follow-up. Account and campaign records are kept for service delivery, evidence and potential disputes, then unnecessary data is deleted or anonymised. Required financial records remain for the applicable statutory period. Backups may retain removed data until their retention cycle ends. Not every category currently has automated deletion. We apply access controls and security measures appropriate to the information. Providers may process outside the EEA; where required, an adequacy decision or safeguards such as standard contractual clauses are necessary. Ask us for details of the applicable safeguards.
Your rights and contact
You can request access, correction, deletion, restriction or portability and object to processing based on legitimate interests. Withdraw consent at any time without affecting earlier lawful processing. Rights depend on the circumstances; legal retention duties can limit deletion. Email hello@rankshaper.nl. We may request reasonable identity verification and normally respond within one month. You can complain to the Dutch Autoriteit Persoonsgegevens at autoriteitpersoonsgegevens.nl. This business website is not directed at children. We update this notice for relevant changes and request fresh consent when necessary.
Quotes and price records
A quote enquiry records product URLs, keywords, calculated tier, pricing version, optional maintenance choice and the timestamp of your acknowledgement of pricing and privacy information. An enquiry is not an accepted agreement. Any later contract acceptance and payment reference are recorded separately. We do not store card data.
